NOTE, Please note that the Village Hall Management Committee has suspended the letting of the hall to celebrate 16th to 21st birthdays, with effect from 1st April 2008. This is because some hirers have failed to provide the required level of supervision.
1. The Village Hall Committee (hereinafter called the Committee) will only let the HALL / KITCHEN of Hunston Village Hall (hereinafter called the Premises) to persons aged 21 years or over. (Please note Hunston Community Club is a private, members club and not part of the Hall).
2. The Hirer will be permitted to use the china provided by the Committee
3. A deposit must be sent to the Lettings Officer to confirm the booking. Payment must be made within four weeks of the date of invoice. The deposit may be retained in whole or part to offset any claim the committee may have from breach of these conditions by the Hirer.
4. Deposits will normally be returned within two weeks of the hire date. However, in certain circumstances the Committee may need to consider whether deposits are returnable (see below). If this happens and a return is to be made, it will be completed within one week of the monthly Committee meeting being held.
5. If paying by cheque, all payments must be received at least six weeks in advance and returned WITH THE CONTRACT / PAYMENT SLIP to the Lettings Officer. Later payments must be in CASH.
6. It is emphasised that the Hirer agrees to supervise and adequately control the use of the Premises during the letting and to pay on demand the cost for making good any loss or damage caused to the Village Hall and to any of the Committee goods.
7. During the letting, the Hirer will ensure that persons residing near the Village Hall are not subjected to any undue noise or annoyance.
8. The Hirer must leave the Premises in a clean and tidy condition and free from litter at the end of the letting period. Any Hirer who does not do so will be charged accordingly. NOTE there is no grace period for cleaning up after the letting period expires. The keys must be returned at the end of the letting, unless other arrangements have been made with the Lettings Officer.
9. FUNCTIONS MUST END NO LATER THAN MIDNIGHT. This includes any time needed to clean and tidy the Premises. The Hirer must leave the Premises by Midnight.
10. It is an offence to run a LICENSEDBAR on the Premises without the prior approval of the Committee. Bar facilities can be made available on application to the Lettings Officer. Unless otherwise agreed with the Lettings Officer, the bar may open from 7.00 p.m. until 11.00 p.m. on Monday to Saturday. On Sunday it will close at 10.30 p.m. NO ALCOHOL IS TO BE CONSUMED ON THE PREMISES BY ANYONE UNDER THE AGE OF 18 YEARS.
11. Hirers are hereby informed that the Hunston Football Club has use of the changing facilities and showers on Saturday afternoons and Sunday mornings during winter months. Hirers considering booking the Premises for these times should take these fixed arrangements into account.
12. If the Hirer cancels a confirmed booking within four weeks of the let, the Committee will consider whether the deposit is returnable. (Return of deposits will be treated as in paragraph 4 above).
13. Any items of First Aid Kit used must be reported to the Lettings Officer.
14. Please note that NO SMOKING is permitted on the premises.
